Day of Coordinator Information

Bridal DJs is excited that you are approximately 30 days away from one of the greatest days of your life. It is time to start putting the final touches on the planning for your wedding day. This page is designed to guide you with simple instructions for filling out your event timeline. The timeline link is inside the planning portal where you have been working on your planning form and request list.

You will use the event timeline to create a layout mapping out the day of event from start to finish. It should include the following: 

• Show activity for every step of the event and include the time and any relevant notes.
• Add each vendors name and phone number in the notes section once you have created their activity tab.
• This should be completed no later than 15 days before your wedding date.
• Our coordinator will help tweak the timeline as needed. You are always welcome to reach out directly at doc@bridaldjs.net with timeline questions.

Your planning form, event timeline, and request list for the dance party MUST be completed no later than 10 days before your wedding date. 

Your DJ and coordinator will reach out the week of your event to schedule a phone consultation and discuss the full details of your wedding day. 

• The day of coordinator will arrive to your reception venue 3 hours prior to your ceremony time on your wedding day if the ceremony is at the same location as the reception
• Will arrive to your reception venue 2 hours prior to your reception time on your wedding day if we are contracted for the reception only
• Wedding planner will manage wedding vendors per your instructions – Will be available in person and by telephone during the wedding day to assist vendors with any problems or questions 
• Manage wedding party
• Manage vendor setup at ceremony & reception sites
• Facilitate the wedding ceremony
• Check for any items necessary to properly conduct the ceremony (unity candles, sand ceremony items, etc)
• Oversee ushers & guest book attendants
• Make sure that all members of the wedding party are looking picture perfect
• Properly line up processional & cue dj/musicians
• Coordinate entertainment and all announcements/events during reception
• Ensure the event stays on track according to the created timeline
• Ensure payment of vendor tips & balances (please have these in envelopes ready to distribute to vendors)
• We are not responsible for any cleanup at the end of the event
• Will leave at the end of the agreed ending time of the event
